Search, Filter & Export Members

The Search, Filter, and Export features make managing member data in Loyalife easy. These tools help you quickly find members, segment them based on criteria, and export relevant data for reporting and analysis.

The filter options include advanced search capabilities such as:

  • String Search
  • CRD Search.
  • Advanced Filters to refine searches by various membership and transactional attributes.

How to search for a member?

Click on the search bar ➝ Search Member by different parameters. You can search by their name, Member ID, phone number, or email.

Overview of the Filter Functionality

The Filter functionality in the Member Module of Loyalife provides users with flexible options to search and filter through member data efficiently. This allows administrators and program managers to quickly locate members, review their details, and perform necessary actions like point adjustments or profile updates.

The filter options include advanced search capabilities such as:

  • String Search by Relation Reference, Member Name, Email, Phone Number.
  • CRD Search.
  • Advanced Filters to refine searches by various membership and transactional attributes.

1. Search by Relation Reference or Other Fields (String Search)

Use the Search Bar at the top of the Members List to perform a string search based on the following dropdown options:

  • Relation Reference: This is a unique identifier associated with each member in the loyalty system. You can enter the member’s relation reference to find their profile quickly.
  • Member Name: This allows you to search for members by their full or partial name.
  • Phone Number: Enter the member’s phone number to locate their profile. Only the last four digits of phone numbers are visible in the results for privacy.
  • Email Address: You can search members by their email address to quickly locate their profile.
  • National Identity Number: Locate members based on their official identification number, which may be required in certain regions for verification or other purposes.
  • Member Account Number: Search by the unique account number associated with each member to directly access their account details.
  • Customer Mobile Phone Number: Find customers through their mobile phone number, which can be useful for personalized outreach or support.
  • Customer Email ID: Quickly search for members or customers using their email ID to find their contact details or account information.
  • Custom String Member Attribute: You can search by custom member string attribute by defining them in custom member attribute as search parameter.

How to Use String Search?

Step 1: Select the Search Parameter

From the dropdown menu, choose the search parameter that best suits your needs (e.g., Relation Reference, Name, Phone Number, Email, National Identity Number, Member Account Number, Customer Mobile Phone Number, or Customer Email ID).

Step 2: Enter the Corresponding Value

Once you've selected your parameter, enter the corresponding value into the Search Bar. This can be the specific text, number, or ID associated with the search parameter.

Step 3: Initiate the Search

Click the search icon to display the results matching your entered value.



2. CRD Search

The CRD Search option allows you to search for Card Related Data (CRD) linked to member accounts. This is useful when you need to find information about members associated with specific cards.

How to Use:

Step 1: Toggle the CRD Search Button

Turn on the CRD Search by toggling the button.

Step 2: Enter Card Details

Type in the member’s card-related information, like the Card Number or Account Number, in the search bar.

Step 3: Apply Filters

  • Click the Search icon to refine your search.
  • Please note, If your program has no CRD data, the CRD search will not appear.

3.Using Advanced Filters

Filters allow you to narrow down member data based on specific criteria. This is useful for segmenting members and performing actions like profile updates or point adjustments.

How to export members?

Overview of Member Export Options

You can export member data for reporting, analysis, or auditing. Loyalife provides three export options. This functionality provides flexibility in exporting data based on different requirements, such as exporting the entire member list, filtered data, or detailed member activity logs.

This manual outlines how to access and use the different export options:

  • Export Entire Table
  • Export Filtered Table
  • Export All Member Activity

Accessing the Export Options

Step 1: Navigate to the Member Module on the Loyalife interface.

Step 2: From the Manage Members page, you will see the list of members.

Step 3: On the top right corner of the member table, there is a three-dot menu (ellipsis icon). Click on this icon to view the available export options.


1. Export Entire Table

The Export Entire Table option allows you to download a complete list of all members currently in the system, regardless of any filters or searches applied. This export is useful when you need a full dataset of the member base for extensive reporting or integration with external tools.

Steps to Export Entire Table:

  1. Navigate to Members on your Loyalife platform.
  2. Click the three-dot menu (ellipsis icon) on the top-right corner.
  3. Select Export Entire Table.
  1. This report will be exported and can be accessed under Report > Members. Once the export is complete, you will be automatically redirected to the Reports tab. To manage the report, click the three-dot icon next to it to view, delete, or share.

To share, use the drop-down menu to enter the recipient’s email and click Share



2. Export Filtered Table

The Export Filtered Table option allows you to export only the subset of members that match the active filters or search criteria you’ve applied. This is useful when you need data for a specific segment of members, such as those in a certain tier, with a specific points balance, or members who have been recently active.

Steps to Export Filtered Table:

  1. Apply the filters or search criteria that you want to use. For example:
    1. Filter by Tier (e.g., Platinum members).
    2. Filter by Points Available (e.g., members with over 10,000 points).
  2. Click the three-dot menu.
  3. Select Export Filtered Table.
  4. The system will generate a file that contains only the filtered results.


3. Export All Member Activity

The Export All Member Activity option allows you to export detailed activity logs for all members. This report includes actions from the storefront such as login, checkout, page visits, etc. This is particularly useful for auditing member activity.

Steps:

  1. Click the three-dots icon.
  2. Select Export All Member Activity.
  1. Select the date range from the drop-down menu or add a custom range. Click “Download as CSV”.
  1. The system will generate a file containing activity logs for each member and redirect you to Reports > Administrative Data. To download the report, go to the specific entry, click the three-dot icon, and select Download. You can also share the report.
